Position in organisation

  • Reports to: Office and Business Support Manager/ Shayon Lynch

  • Responsible for: Assisting the office manager and making sure the office runs smoothly for everyone

Duties & responsibilities


Support the office manager and the rest of the team: respond quickly to ad hoc requests, tasks and admin:

  • Keep the entire office neat, tidy and presentable at all times

  • Report and supervise repairs/maintenance

  • Meet and greet any visitors

  • Manage the birthday calendar and arrange cards for the team

  • Arranging and organising gifts for team i.e flowers for bereavement etc

  • Keep inventory stocked with tea / coffee and water bottle replacements

  • Manage office supplies and encode expenses

  • Support office manager with onboarding/offboarding and HR admin

  • Assist with diary management and meetings planning

  • Maintaining filing system

  • Assist the Senior Management Team with travel bookings and logistics for events, ensuring good communication of plans and details

  • Act as front of house for incoming and outgoing correspondence

  • Assist with internal and external event organisation (such as staff drinks, activities, birthdays or leaving do’s, away days, report launches, roundtable events, stakeholder/client drinks, Crestmas party, etc.)

  • Helping the office manager to maintain the company IT :

  • IT Hardware (laptops, phones, kit) maintenance

  • Maintain IT inventory

  • Replacement/Buying

  • Software maintenance

  • Set-up for new staff and training

You would work from our new London office (near Old Street), 40 hours per week full-time.
